How to check in leads
Check-in swipes a registered guest to Attended status via the Mobly mobile app. The workflow is the same whether your registrants came in through Host or a CSV attendee list you uploaded — the only difference is upstream, in how the leads landed on the event.
What you need
Leads already attached to the event. Two ways to get them there:
Host registration — registrants sync in automatically when they fill out your event's form. See How registrants flow from Host into Mobly.
CSV upload — for events that don't use Host, upload your attendee list before the event. See How to upload an attendee list.
Check-in enabled for your org. You'll see a Registration tab on each event when this is on. If you don't see it, contact your CSM.
At the event — checking guests in
Each event-staff member opens the Mobly mobile app and selects the event (the event banner at the top of every screen shows which event you're working in).
Tap into the event's Leads tab.
When a guest arrives, find their name in the list (search is fastest for big rosters).
Swipe right on their row to check them in.
That's it. The lead's status updates to Checked In in Mobly.
Fixing an accidental check-in
Swipe left on the lead's row to reverse it. The lead goes back to Registered status.
Walk-ins (guests not on the registration list)
For guests who show up who weren't pre-registered:
If they have a badge — scan them like a normal lead capture
If they don't have a badge — enter their name manually from the capture screen
They land as a new lead in the event with Scanned status (different from Registered — useful for separating pre-registered vs. walk-up traffic in your reports later).
For events with heavy walk-in traffic, the Registered vs. Scanned status distinction in the lead table is your friend for post-event reporting.
Notes for Host-registered events
If your event uses Host, a couple of extras to know:
Two-way sync. When you check someone in on the Mobly side, Host's registration data updates too — the guest count in Host's analytics matches what you're seeing on the floor. Same for undo (swipe left reverts on both sides).
The no-email edge case. If a Mobly lead lacks an email address, Mobly won't push that lead's check-in back to Host. No error is shown — the lead is checked in on the Mobly side, just not reflected in Host. Rarely matters since Host registrants almost always have an email; can come up for walk-ins or manually-added leads.
Real-time reporting. While the event runs, the Hub's event detail page shows live check-in counts and Host's registration dashboard shows registered vs. attended — both surfaces stay in sync automatically. If Marketing watches Host's funnel and on-site staff use Mobly to check people in, both teams see the same numbers without doing anything special.
