Working with Accounts
An Account is your customer-editable, canonical record for a business — the version you curate. Behind it, Mobly keeps one or more Company records built from what your team captured and what enrichment found. An Account can link to a single Company, or several — which is normal when the same business appears across different events, capture methods, or data sources.
Think of the split this way:
Company — the Mobly-facing record. Mobly automatically builds and updates Companies from scans, business cards, uploads, and enrichment.
Account — your record. You create it, edit it, link it to your CRM, and treat it as the source of truth for how the business is represented in Mobly.
The two-tab view: Accounts + Unlinked companies
The Accounts page has two tabs:
Accounts — every Account you've created, with columns for Name, Industry, Integrations (which CRMs are linked), and Owner. Filter, search, and sort like any other Mobly table.
Unlinked companies (N) — Companies that Mobly has built but that don't have an Account yet. Turn them into Accounts here — one at a time or in bulk.
At the top of the Accounts tab, if Mobly detects duplicate unlinked companies (same normalized name or LinkedIn URL), a banner appears with a Review duplicates button.
Creating Accounts from unlinked companies
Three paths, in order of how much control you want:
One at a time. On the Unlinked companies tab, use the per-row menu to Create account (turns just that company into an Account) or Link to account (attaches it to an existing Account).
Select and create. Check multiple rows, click Create account (N) in the header. Mobly opens a review dialog where you can adjust which companies to include and reconcile conflicting field values (Name, Industry, LinkedIn, Address, City, State, Zip, Country) before merging.
Auto-create accounts. Bulk-turns every unlinked company (with a name) into an Account, merging duplicate groups where it can.
Auto-create accounts is aggressive. Every unlinked Company with a name becomes an Account in one click, so if you have hundreds of Companies you'll end up with hundreds of Accounts. Great for a fresh setup; slower and more deliberate is better when you want to curate what an Account represents.
Reviewing duplicates
When Mobly detects Companies that likely refer to the same business, they show up in the duplicate audit — reachable from the Review duplicates banner on the Accounts tab.
Detection uses either:
Normalized name — lowercased, with "Inc", "LLC", "Ltd", "Corp", "Co", "GmbH", "Company" stripped and punctuation removed. "Acme Corp." and "Acme Corporation" match.
Normalized LinkedIn URL — same company page, different URL formatting.
For each duplicate group, uncheck any Company that doesn't belong. If field values disagree between the candidates (one says "Software", the other says "SaaS"), pick which value to keep — or type your own. Click Merge N into one account to create an Account, or Skip to leave the group for later.
The Account detail page
Click any Account row to open its detail page. Two tabs: Overview and Leads.
Overview tab
Account information — the editable core. Click Edit to open a drawer where you can update Name, Industry, LinkedIn, Address, City, State, Postal Code, and Country. This is the "canonical" version — regardless of what any single scanned Company said, this is what Mobly considers the real answer.
Map to your CRM — if the Account isn't already linked to a CRM, buttons appear for each CRM you've connected (HubSpot, Salesforce, Zoho). Click one and Mobly walks you through picking the matching CRM record.
Company details from your CRM (labeled "Firmographics" in-product) — once mapped, Mobly pulls in the CRM's version of the company: name, domain, website, phone, industry, employee count, address, lifecycle stage. Read-only reference — no matter what you change in Mobly, your CRM record is not updated.
Deals — every deal on the CRM Account, with Open / Lost / Won stat cards summarizing total value and count, plus a full table with stage, amount, close date, owner, type, and status.
AI summary — an auto-generated narrative summarizing what's important about this Account based on the CRM data, plus a "Key facts" list and a "Contacts" chip row. Regenerates automatically when the CRM data changes.
Owner — the CRM owner assigned to this Account. If Mobly can match the CRM owner to a user in your Mobly workspace, you'll see a "Mobly user" badge.
Linked companies — the list of raw Company records rolled up into this Account. Unlink removes a Company from the Account (it goes back to Unlinked companies). If Mobly spots a Company with a matching name key that isn't linked yet, it appears under Suggested links with a one-click Link button.
Leads tab
Every lead attributed to this Account — meaning any lead whose captured Company is linked to the Account. Standard leads-table filters and columns.
Linking a CRM record — Map account
The Map wizard lets you connect a Mobly Account to a specific CRM record.
Supported CRMs: HubSpot, Salesforce, Zoho.
Works for both primary and secondary CRM connections — see Connecting a secondary CRM integration if your team uses more than one CRM. An Account can hold both a primary-CRM record and a secondary-CRM record side-by-side.
The wizard shows CRM candidates matching on name or domain. Pick the right one and confirm.
Once mapped, Mobly pulls in the CRM's Company details, Deals, and Owner. Data refreshes on-demand when you open the detail page (any record older than a few minutes gets re-pulled in the background).
Unmapping
You can remove a CRM link from an Account. The button lives in the CRM panel header on the detail page.
If a match was wrong, unmap and then re-map to the correct record. When you re-map (to the same or a different CRM record), Mobly fetches a fresh copy of the CRM data.
Account vs. Company — how to think about it
Two records for the same business, playing different roles:
Company — the Mobly-facing record. Automatically built and updated from scans, business cards, uploads, and enrichment. A single business can have one Company or several linked to the same Account, depending on how Mobly captured and stitched the data together.
Account — your record. You create it, curate it, and link it to your CRM. It's the source of truth for how the business is represented in Mobly.
When you want to update how a business appears in Mobly — fix the name, add a LinkedIn URL, correct the industry — edit the Account. The linked Companies stay attached; the Account is what your team treats as canonical.
Best practices
Start with a duplicate-review pass. Before running Auto-create, click through the Review duplicates flow so obvious dupes merge into single Accounts instead of becoming separate ones.
Map to your CRM early. The CRM data enriches the Account with deal context, firmographics, and owner info — most of the value shows up after mapping.
Edit on the Account, not the Company. Companies are the Mobly-facing record; the Account is your curated version, so put your edits there.
Don't unmap unless you're sure. Re-mapping is fine; unmapping deletes CRM data attached to the Account.
